The COSPAR Florence 2026 organization, aligning with COSPAR’s Code of Conduct guidelines, will strive to secure a pleasant and entirely safe meeting environment where the pursuit of meaningful science and scientific benefits will be the only concern of delegates and COSPAR Associates.
To this purpose, the following delineate the expected behavior, unacceptable behavior and potential consequences to participants whose conduct is found to deviate from expected behavioral norms. The Local Organizing Committee will be responsible for making sure that the following rules and principles are adhered to for the duration of the meeting.
• Treat all participants with respect and consideration regardless of age, race, physical appearance or disability, ethnic background, religious or sexual orientation, by valuing and celebrating the diversity of views and opinions;
• Communicate openly with participants and Associates, considering ideas rather than personalities and refraining from personal attacks at any level or to any degree;
• Be considerate, respectful and collaborative;
• Be mindful of surroundings and fellow participants, allowing them the space they need to thoroughly follow and benefit from deliberations;
• Give credit where credit is due, acknowledging the contributions of others;
• Make presentations that are the result of scientific research conducted with the highest ethical standards;
• If participants wish to share photos of a speaker on social media, we strongly recommend that they first get the speaker’s permission. Participants may also share the contents of talks/slides via social media unless speakers have asked that specific details/slides not be shared;
• Respect and comply with the policies and rules of the meeting venue, the Fortezza da Basso, that will be distributed to participants or will be communicated by the Local Organizing Committee.
• Harassment or intimidation of any form including, but not limited to, verbal, written physical contact aiming to threaten, intimidate, or coerce another delegate or associate, as well as conference organizers or support personnel;
• Discrimination or hint thereof, based on age, race, physical appearance or disability, ethnic background, religious or sexual orientation;
• Unwelcome sexual advances or undue attention;
• Use of inappropriate or offensive language, nudity, violent or sexual imagery, including posting or promoting inappropriate social media content;
• Publication of other participants’ personal or sensitive information (electronic and physical addresses, meeting passcodes, etc.) without explicit permission by the affected person(s);
• Disrespectful or uninvited disruption of deliberations, be they presentations or discussions during the meeting, either in case of physical or online attendance.
Participants can report any violation of these guidelines in confidence to a Committee designated by the LOC.
• Anyone requested to stop any of the above unacceptable behavior is expected to comply immediately;
• Should it be deemed necessary, action may be taken against any disorderly participant, without refund of registration fees, ranging from a verbal warning to complete removal from the meeting premises that may include the intervention of local authorities or security personnel, or the removal of meeting credentials in case of online attendance;
• The Committee reserves the right to inform COSPAR of potentially serious infractions and their perpetrator(s), for the purpose of possibly taking steps to prevent participation by these individuals in future meetings and events.
