Depending on their citizenship, delegates may need to obtain a visa before traveling to Italy.
It is the responsibility of each delegate to check the visa requirements for Italy and apply for a visa, if necessary.

It is highly recommended to apply in due time, as the visa-issuing procedures could take up to 120 days.
To support visa applications, the Organizing Secretariat provides the following documents:
- An invitation letter addressed to the applicant and a visa support letter addressed to the Italian Embassy, both signed by the CEO of AIM Group International
- Chamber of Commerce registration certificate
- Copy of the CEO’s ID (AIM Group International)
These documents can be downloaded by delegates from their personal area immediately after entering their personal data on the Congress platform.
Refund Policy in Case of Visa Denial
Refunds shall be granted exclusively to delegates who are unable to attend the Congress due to the formal refusal of an entry visa to Italy.
Eligibility for a refund is subject to strict compliance with the following conditions:
- the delegate must submit a written refund request before the start of the Congress.
- the request must be supported by the official visa refusal letter issued by the competent Italian Embassy or Consulate, clearly confirming the denial of the visa application.
Refund requests submitted without the required official documentation will not be considered or processed.
All requests must be sent in writing to the Organizing Secretariat at: cospar2026.reg@aimgroup.eu
Upon receipt, requests will be reviewed and assessed at the sole discretion of the Organizing Secretariat.
Where all conditions are met and the request is approved, a refund will be issued for all prepaid fees, less a non-refundable administrative charge of €50.
Refunds will be processed within 60 days following the conclusion of the Congress.
The Organizing Secretariat reserves the right to request additional documentation or clarification where necessary and to reject any request that does not comply with the above conditions.
